Notion vs ClickUp: the quick verdict

This comparison is for owners and operators of small and mid-sized businesses choosing one workspace tool for a team of roughly 5 to 100 people. Both products now cover docs, tasks and AI, so the real question is which problem costs you more hours each week: finding information, or getting work done on time.

Notion is a docs-first workspace that added project management. ClickUp is a project management platform that added docs. That origin still shows. Teams whose pain is "our SOPs live in random files" usually feel Notion as an upgrade. Teams whose pain is "deadlines slip and nobody knows who is overloaded" usually get more from ClickUp.

Pricing

Notion's prices below come from its pricing page in US dollars. ClickUp's page currently shows two lineups; both are listed so you can check which one you are offered.

PlanNotionClickUp (current lineup)

Entry paidPlus: $10/seat/mo annual, $12 monthlyUnlimited: $7/user/mo annual, $10 monthly
Business$20/seat/mo annual, $24 monthly$12/user/mo annual, $19 monthly

AIIncluded in Business and Enterprise; Plus has a limited trialBrain AI $9/user/mo or Everything AI $28/user/mo; top-up credits $10 per 10,000

ClickUp's page also shows a newer lineup: Core at $9 per user a month billed yearly ($12 regular price), Business at $17 billed yearly, and Max at $100, with pooled AI credits included in each plan (1,000 per user on Core, 1,500 on Business). It appears to be rolling out alongside the older plans. Confirm at checkout before you lock a budget.

What this means for a 15-person team on annual billing:

  • Notion Plus: about $150 a month. Notion Business with full AI: about $300.
  • ClickUp Unlimited: about $105. ClickUp Business: about $180. Add Brain AI for everyone and Business lands near $315.

ClickUp is cheaper on seats alone. Once AI is in scope for the whole team, the two converge. Notion bundles AI into the Business seat; ClickUp sells it as an add-on or, in the newer lineup, as credits inside the plan.

Feature analysis

Documents and wiki

Notion still has the stronger writing environment. Nested pages, synced blocks, embeds and database views inside a page feel native, and its sites feature lets you publish pages publicly, with a custom domain for $8 a month on annual billing. ClickUp Docs are capable and sit next to tasks, which helps when documentation is mostly task context. For a team that writes long SOPs, client deliverables or onboarding playbooks, Notion saves real time on every read.

Project management depth

ClickUp leads here. Its free plan already includes time tracking, sprint management and Kanban; paid plans add unlimited Gantt charts, custom fields and goals, and Business adds workload and resource management, timesheets and time-in-status reports. Notion handles a few simple projects well with board and timeline views, but capacity planning across many concurrent client engagements is not what it was built for.

Databases and views

Notion's relational databases are more flexible for records that are not tasks: a light CRM, an applicant tracker, a vendor list, an asset register. Linked databases, rollups and formulas let one workspace act as a small operational database. ClickUp's lists, tables and custom fields work well for task data and feel more rigid for anything else.

Integrations and automations

ClickUp includes a monthly automation allowance on each paid plan and connects natively to tools like Slack, HubSpot and Google Drive. Notion has database automations and newer Custom Agents that run on credits ($10 per 1,000 a month after a free trial). Many Notion teams still use Zapier or Make for cross-tool handoffs. If you want sales-to-delivery handoffs automated inside the tool itself, ClickUp is the simpler path.

AI features

The bigger 2026 change is how AI is sold. Notion now puts its AI features, including Notion Agent, AI Meeting Notes and Enterprise Search, in the Business plan; Free and Plus get a limited trial. ClickUp sells Brain AI as a per-user add-on with monthly credits, and its newer plans bundle pooled credits. Neither AI layer is a reason to switch on its own. Choose the core tool first, then decide whether AI is worth the uplift for every seat or only for a few power users.

Scalability

Both scale linearly per seat. Notion workspaces with very large, heavily linked databases can feel slow, and ClickUp's interface gets dense as spaces multiply. Most SMBs never hit either ceiling. The larger cost is usually migration: moving hundreds of pages or thousands of tasks later takes weeks of someone's time.

Who should use which

Choose Notion if you are a 5 to 30 person team where scattered knowledge is a bigger pain than task tracking; you produce a lot of written work (consultants, marketers, agencies with heavy deliverables); you want one tool to double as wiki, light CRM and client portal; and you value a low learning curve.

Choose ClickUp if you run 10 or more concurrent projects or client engagements; you need native time tracking, workload views and sprint reporting; you have an operations lead or PM who will maintain a dense setup; or you bill by the hour and need hours per project without another tool.

Use both if you have crossed roughly 20 people and each tool has a clear owner and a defined job: Notion for documentation, ClickUp for execution. For other parts of the stack, see our comparisons of Asana, Monday and Trello and Slack and Microsoft Teams.

Our take as fractional CFOs

From a finance seat, the question is never "which tool is better". It is "where is the team losing hours, and what are those hours worth?" A 15-person team that loses two hours each per week to searching for documents or chasing task status is burning about 120 hours a month. At an illustrative loaded cost of $50 an hour, that is $6,000 a month, roughly 20 to 40 times the cost of either tool. The software is cheap; the waste is not.

So we tie the choice to a bottleneck we can measure:

  • If you sell time, utilization and hours per engagement drive margin. ClickUp's native time tracking gives you the hours data that feeds project profitability and management reporting without a separate timesheet tool.
  • If knowledge is the bottleneck, measure onboarding time for new hires and repeat questions in chat. Notion pays back when it shortens both.
  • Watch seat creep. Both tools charge per member. Audit seats quarterly, move occasional users to guest access where possible, and put AI only on the seats that use it.
  • Avoid dual sources of truth. If project status lives in both tools, your weekly numbers will disagree and leadership will argue about whose list is right.

A tool cannot fix unclear priorities. If you are not sure which bottleneck matters most, a short business diagnostic usually finds it faster than a software trial. It also helps to decide first which KPIs your dashboard should track, then pick the tool that produces them.

Related questions

Can Notion replace ClickUp for project management?

For a small team running a handful of simple projects, yes. Notion databases handle boards, timelines and owners well. It gets harder once you need native time tracking, workload views across many people and dense reporting, which are built into ClickUp. If billable hours or capacity planning matter, Notion alone usually is not enough.

Can ClickUp replace Notion as our company wiki?

ClickUp includes Docs and a wiki feature, so technically yes. In practice, teams that write a lot of long-form SOPs, playbooks or client deliverables tend to prefer Notion's editor and page structure. If your documentation is light and mostly attached to tasks, ClickUp Docs is fine and saves a second subscription.

How much do Notion and ClickUp cost for a 15-person team?

On annual billing, Notion Plus is about $150 a month for 15 seats and Notion Business, which includes the full AI features, about $300. ClickUp Unlimited is about $105 and ClickUp Business about $180, with Brain AI at $9 per user on top if you want AI for everyone. Monthly billing costs more on both.

Is Notion AI included in the Plus plan?

Not fully. Notion's pricing page shows the Free and Plus plans with a limited trial of Notion AI. Notion Agent, AI Meeting Notes and Enterprise Search are included from the Business plan. Custom Agents run on Notion credits, priced at $10 per 1,000 credits a month after a free trial.

Why does ClickUp's pricing page show two different plan lineups?

In October 2026 ClickUp's page shows both its long-standing Unlimited and Business plans and a newer lineup of Core, Business and Max with pooled AI credits. The newer plans appear to be rolling out. Check which lineup your workspace is offered at checkout before you budget.

Should we run both Notion and ClickUp?

Many teams of 20 or more do: Notion for documentation, ClickUp for execution. It only pays off if each tool has a clear job and an owner. If you cannot say which tool holds the source of truth for a given process, you are paying twice for confusion.
