QuickBooks, Wave or Zoho Books: which fits a small business
This comparison is for owners of small businesses choosing low-cost accounting software, often for the first time. It covers the three products people compare when price matters most: QuickBooks Online, Wave and Zoho Books. If you have already decided you need a full-featured platform and are weighing the two market leaders, read our QuickBooks vs Xero comparison instead.
The decision usually comes down to three questions: who else will work in your books, which features you will need in two years, and how much a later migration would cost you.
Quick verdict
Use Wave if you work alone, mainly send invoices and do not yet have an accountant in your books. Use Zoho Books if you want the most features per dollar, need multi-currency or inventory, or already use other Zoho apps. Use QuickBooks Online if you are in the US and a bookkeeper or accountant will work in the file, because it is what most of them expect.

Pricing
QuickBooks has raised prices substantially. Its 2026 list prices are $38, $85, $140 and $340 a month, up from the $30 to $200 range many older reviews still quote. Zoho Books is the cheapest full-featured option. Wave stays cheapest overall.
| Tier | QuickBooks Online | Wave | Zoho Books (monthly / annual billing) |
|---|---|---|---|
| Free | Free: 1 user, limited invoices | Starter: $0 | Free: $0, under $50K revenue |
| Entry | Simple Start: $38/mo, 1 user | Pro: $19/mo, $190/yr | Standard: $20 / $15, 3 users |
| Mid | Essentials: $85/mo, 3 users | — | Professional: $50 / $40, 5 users |
| Upper | Plus: $140/mo, 5 users | — | Premium: $70 / $60, 10 users |
| Top | Advanced: $340/mo, 25 users | — | Elite: $150 / $120, 10 users; Ultimate: $275 / $240, 15 users |
| Extra users | Included up to plan limit | Role-based | $3/user/mo ($2.50 annually) |
| Discounts | 50% off for the first 3 months | Annual Pro saves about 17% | Annual billing saves 13–25% |
Worked example: what a year actually costs
Here is the annual list cost for three common situations, before promotions.
| Need | QuickBooks Online | Wave | Zoho Books (annual) |
|---|---|---|---|
| Solo owner, bank feeds | $456 (Simple Start) | $190 (Pro) | $180 (Standard) |
| 3 users, multi-currency | $1,020 (Essentials) | Not listed | $480 (Professional) |
| 5 users, inventory | $1,680 (Plus) | Not listed | $480 (Professional) |
QuickBooks' three-month 50% promotion lowers year one by one and a half months of fees, for example $1,680 to $1,470 on Plus. From year two you pay list price. For most small businesses, the software bill is small next to the cost of the bookkeeper who uses it, which is why accountant fit matters more than a few hundred dollars.
Feature analysis
Accountant ecosystem and bookkeeper availability
QuickBooks Online is still the default for US accountants and bookkeepers. Paid plans include two accountant seats (three on Advanced), and almost any US bookkeeper can start work in your file the same week. Zoho Books includes an accountant user even on its Free plan and is common with international firms. Wave lets you add trusted users, including accountants, and offers free access for Block Advisors tax pros. (Wave)
If you plan to hire a bookkeeper or raise money in the next 18 months, ask them which system they use before you choose.
Invoicing and accounts receivable
All three invoice well. Wave's free Starter plan gives unlimited invoices and estimates, which is unusual at that price. Wave Pro adds automated late-payment reminders and cheaper card processing on the first 10 transactions each month. Zoho Books adds progress invoicing on Standard and sales orders on Professional. QuickBooks' free plan limits invoices, so it suits only the lightest users.
Inventory and ecommerce
Zoho Books leads on price. Inventory tracking starts on Professional, and Elite adds multiple warehouses, serial and batch tracking, and Etsy, eBay and Amazon integrations. (Zoho) QuickBooks includes inventory from Plus. Wave does not list inventory features. Shopify and Amazon sellers usually add a settlement tool on top of either QuickBooks or Zoho; our note on the Shopify and QuickBooks accounting stack covers that set-up.
Multi-currency and international
Zoho Books includes multi-currency transactions from Professional. QuickBooks Online offers multi-currency on Essentials, Plus and Advanced, not Simple Start. Once switched on, it cannot be switched off, and Intuit notes it disables the cash flow planner and does not work with QuickBooks Bill Pay or Payments. (QuickBooks Help) Wave's pricing page lists no multi-currency feature. For a business selling across borders, that settles it.
Reporting and financial statements
QuickBooks and Zoho both produce a standard profit and loss, balance sheet, cash flow statement and aging reports. Zoho Premium adds budgets, fixed assets, basic revenue recognition and cash flow forecasting, and Ultimate adds advanced analytics and KPI tracking. QuickBooks Plus adds project profitability and up to 40 classes or locations, which is useful for segment reporting. Wave covers the basics, which is fine for a sole proprietor.
None of the three replaces proper management reporting. The software produces statements; someone still has to turn them into a monthly view of margin, cash and runway.
Payroll
Wave Payroll costs $40 a month plus $6 per employee or contractor, and now includes its tax service in all 50 US states. (Wave) QuickBooks sells payroll as bundles, from $88 a month plus $6.50 per employee with Simple Start. (QuickBooks) Zoho sells payroll as a separate product, outside Zoho Books. Many growing US businesses connect a dedicated payroll provider instead.
Scaling beyond small business
Wave fits a solo owner or very small team. Zoho Books scales further than its price suggests, with up to 15 users on Ultimate plus paid extra users. QuickBooks Advanced covers 25 users. Past that, or once you need multi-entity consolidation, most companies move to a mid-market ERP. Plan that move six to twelve months ahead, not after the year-end close breaks.
Who should use which
- Freelancer or sole proprietor, invoicing-led: Wave Starter, then Pro once bank imports save you time.
- Small US service business with an accountant: QuickBooks Simple Start or Essentials.
- Business under $50K revenue that wants full double-entry for free: Zoho Books Free.
- Ecommerce or wholesale with stock: Zoho Books Professional or Elite, or QuickBooks Plus if your accountant insists.
- Business trading in several currencies: Zoho Books Professional. Compare it with Xero too.
- Company already on Zoho CRM or Zoho One: Zoho Books.
- Startup planning to raise venture capital: QuickBooks Online, or Xero outside the US. Investors and their accountants expect a mainstream ledger.
Our take as fractional CFOs
The most expensive mistake we see is choosing software for the business you have today rather than the one you will run in two years. Founders start on a free plan, add a bookkeeper, a second currency and inventory, and then pay for a migration in the middle of a fundraise. Historical reconciliations rarely move cleanly, so the accountant rebuilds prior periods at an hourly rate that dwarfs the software savings.
The opposite mistake is overbuying. Few small businesses use enough of QuickBooks Advanced to justify $340 a month. Check which features you actually open before you upgrade.
What we look at as CFOs is not the logo but three things the software must support. First, a chart of accounts that separates cost of sales from operating costs, so gross margin and contribution margin are real numbers. Second, classes, projects or tags that let you report profit by product, channel or client, which is the basis of any unit economics work. Third, a close that finishes early in the month, so the numbers feed a weekly cash forecast while they still matter.
Zoho Books is underrated, especially for non-US and multi-currency businesses. QuickBooks is the safe US choice because of the people around it, not the product. Wave is excellent for what it is. Pick the one your future bookkeeper will use, and set it up properly from day one. Our explainer on management accounts vs statutory accounts shows what the set-up should produce.

Does QuickBooks have a free plan now?
Yes. QuickBooks lists a Free plan for one user that tracks income and expenses, sends a limited number of invoices, connects one bank account and includes three core reports. Which is best for inventory?
Zoho Books, on price. Inventory tracking starts on its Professional plan at $40 a month billed annually, and Elite adds multiple warehouses and Amazon, eBay and Etsy integrations. QuickBooks includes inventory from Plus at $140 a month. Wave does not list inventory features on its pricing page.
What about Xero?
Xero is QuickBooks Online's closest competitor. In the US it starts at $27 a month with no per-user fees, and it is often the default for accountants in the UK, Australia and New Zealand. We compare the two directly in our QuickBooks vs Xero guide.
